What we collect, and where it comes from
We only collect what we need to answer you, do the job, and run the business.
- Enquiries. The contact form on this website asks for your first name, last name, phone number, email address and message. You can also email or call us with the same sort of details.
- Bookings and shoots. When you book, we keep the details of the job: what you want photographed, dates, locations, quotes, invoices and how to reach you.
- Photographs and footage. A job can include pictures of people (including children, where a parent or guardian has booked), pets, homes and other property, and drone stills and video.
- Technical data. The site and the tools listed below record ordinary technical information such as a browser session, a cookie choice, or a rough location used by the enquiry form. See our cookie policy.
Why we use it, and the lawful basis
- To reply to an enquiry and prepare a quote. Legitimate interests, or steps towards a contract if you ask us to price a job.
- To carry out a booking. Contract. That includes turning up, taking the pictures, editing them and sending them to you.
- To keep invoices and tax records. Legal obligation.
- To show work in our portfolio or on social media. Consent. We do not publish your pictures for our own marketing unless you have agreed.
- To run this website. Legitimate interests: keeping the site online, blocking abuse, and understanding, in a limited way, how the site is used.
You can withdraw consent at any time. We will stop the use that relied on it. Withdrawal does not affect use that already happened lawfully.
Photography and drone work
We deliver client pictures by a method we agree with you, such as a download link or a gallery. Those files are for you and the people you choose to share them with.
Copyright in our photographs and footage stays with Elemental Photography Ltd unless a written licence says otherwise. See our terms of website use.
We only put your images on this website, in a portfolio, or on our social media accounts if you have agreed.
Drone flights follow our UK Civil Aviation Authority authorisation. A flight can incidentally show people, vehicles or neighbouring property in the background. We do not use those background details to identify anyone, and we do not publish them unless we have a proper reason and, where it is needed, consent.
If a shoot includes a child, we rely on the adult who booked the job to have the right to have that child photographed.
Who we share it with
We do not sell your information. We use these providers to run the website and the business. They process information for us, or they receive it because you use a feature on the site:
- Cloudflare hosts the website, delivers it over its network, checks the enquiry form for bots (Turnstile) and counts visits with a cookieless analytics beacon.
- HighLevel (GoHighLevel / LeadConnector) provides the enquiry form at ghl.elemental-photography.co.uk. The form sends your name, phone, email and message to us, and its script can record a short session so the form works.
- Google provides the Maps embed, YouTube videos on some location pages, the fonts loaded inside the enquiry form, and our email inboxes (Google Workspace).
- Illow shows the cookie banner and stores the choice you make.
- Linkbot provides the chat widget.
- Matterport and Kuula host the 3D and 360 tours embedded on the property page.
- SpreadSimple runs the separate print shop at shop.elemental-photography.co.uk. If you buy a print there, that shop collects your order details under SpreadSimple’s own terms and privacy policy, not this one.
We may also share information if the law requires it, for example with HMRC.
We did not find Stripe, Mailchimp, Adobe Flash, Google Analytics or a Facebook pixel in use on this website. The old privacy page named some of those. They are not part of how the site works today.
International transfers
Some of the providers above are based in the United States or store information there. Where personal information leaves the UK, we rely on a lawful transfer tool. That is usually the UK adequacy regulations, the UK International Data Transfer Agreement, or the UK extension to the EU-US Data Privacy Framework, depending on the provider. We do not send your information abroad for our own separate marketing lists.
How long we keep it
- Enquiries that do not become a booking: 2 years, then we delete or anonymise them.
- Client records and invoices: 6 years, so we can meet HMRC rules.
- Image archives: kept for 2 years unless you ask us to delete them.
Your rights
You can ask us to:
- see the personal information we hold about you (access);
- correct it (rectification);
- delete it (erasure);
- limit how we use it (restriction);
- give you a copy in a portable form (portability), where the law provides that right;
- object to use based on legitimate interests;
- withdraw consent, where we rely on consent.
Email info@elemental-photography.co.uk and we will respond within one month. We may need to confirm it is you.
You can also complain to the Information Commissioner’s Office: https://ico.org.uk/make-a-complaint/.
Cookies
We use a few cookies and similar tools. The detail is in the cookie policy. The banner on the site (Illow) is where you set optional cookies.
